How to upload an invitation list or import your attendee list

Import a guest or invitation list by following these steps!

You can upload and manage your invitation or attendee list using our CSV import feature. This allows you to quickly add multiple guests at once instead of entering them manually.

STEP BY STEP INSTRUCTIONS:

To import your guest list into EventCreate, please follow these steps:

1. Go to your Event Dashboard, then click on Manage to access your Attendee List.

2. Then, go to Add Attendee > Import Spreadsheet:

3. When importing a .csv file, please make sure to have a column for First Name, Last Name, and Email Address. You can also import the system-generated questions: Title, Company, Biography, Tags (Max 3)

Supported fields for import include:

  • First Name

  • Last Name

  • Title

  • Organization

  • Bio

Please note:

  • Do not leave the first name, last name or email fields blank or it will not be imported. If you do not have the last name, you need to put a '-' in those fields/columns, so it can be read.

  • Custom data fields are not supported to import at this time
    (e.g., dietary restrictions, table numbers, or other custom columns cannot be uploaded)

  • Company, title and Bio can only be uploaded when they are a system-generated form question. They cannot be uploaded when it is a custom form question.

  • Importing Attendee Status (ie. “Attending”) is not currently supported
    All uploaded contacts will be added as invitees, not confirmed attendees

  • The system will not check for duplicates when uploading multiple files, we recommend to only add new names and remove duplicates ahead of time. You also have the option to confirm which names to add when importing.

For example:

First Name / Last Name / Email, type into each column :

- / - / [email protected] (make sure there are not extra spaces at the end of the email field)

4. On the file uploader, click Upload File or drag and drop a file to get started:

If the fields (First Name, Last Name, Email, Title, Organization, Bio, or Tags) don’t automatically match, use the Destination Fields column to map them manually. Once all fields are correctly mapped, click Continue:

5. You'll see a status screen confirming that the upload is running in the background:

Once complete, you'll be able to verify and submit the data:

And you will see a confirmation screen once uploaded:

6. Once your list is uploaded, you can send out your invitations via EventCreate:
