I need to cancel or postpone my event. What do I do?

If you need to postpone, cancel, or send guests an event update, we recommend following these steps:

🔔 Notify Your Guests

We recommend the following methods to notify your attendees:

  1. Update the event website text to announce cancellation or postponement.

  2. Close registration or change the “Register” button to say “Register Your Interest.”

  3. Send an event update email to your guest list.

  4. Process any ticket refunds as needed.


📝 Step 1: Update the Event Website Text

Let your guests know the event is canceled or postponed by editing the website content.

To update the website text:

  • Go to your Event Dashboard > Setup > Website > Edit Website

  • Hover over the section you want to change and click Edit

  • Update the text to reflect your cancellation or postponement message

  • Save your changes


✅ Step 2: Close Registration

There are several ways to stop new registrations:

Option A: Change the registration end date to a past date

  • Go to Setup > Registration

  • Scroll down to change the overall registration close date

  • If using ticketed registration, adjust the date for each ticket under Setup > Registration > Tickets

Option B: Lower the event capacity

Option C: Mark registration as inactive

  • Go to Setup > Registration > Advanced

  • Uncheck "Registration is Active"

  • Click Update to save


📧 Step 3: Send an Email Update to Attendees

You can send a custom email update to let attendees know about the changes.

To do this:

  • Go to Emails/Invites > Templates and create a new template with your event updates

  • Click Send Email and choose your recipient list:

    • All Attendees

    • Attendees by Ticket Type

    • Attendee List – Not Responded

    • Attendee List – Attending

💸 Step 4: Process Refunds

To refund attendees:

  1. Go to your Event Dashboard > Track > Reports > Orders/Registrations

  2. Search for the guest’s name and click their order number

  3. Click Issue Refund

Important:
Refunds must be processed through EventCreate to sync with Stripe.
Then, go to Attendee List > Edit Attendee > Cancel Order to invalidate their ticket and remove them from the attendee list.

⚠️ Refunding a guest does not automatically cancel their registration status—be sure to cancel it manually in the Attendee List.


📴 Step 5: Un-publish Your Event Website (Optional)

To take your event website offline:

  • Go to Event Dashboard > Manage Event

  • Change the event status from Published to Draft

This will keep all your content and settings intact, but hide your site from the public.
