The culprit is almost always a very long link! Often, this happens with URLs that exceed 200 characters.
Because the URL doesn't contain any spaces, email providers (like Gmail and Outlook) treat the entire link as a single, unbreakable "word." With no spaces to tell the system where to wrap the text to the next line, the text box is forced to expand outward.
Note: Because we require you to paste the raw URL to ensure the best possible email deliverability, the best solution is to shorten the link itself.
Two Simple Ways to Shorten Your Link
Here are two easy ways to shrink your URL and get your email formatting back to normal:
Option 1: Use a URL Shortener (Fastest Method)
You can use a free online service like Bitly or TinyURL to instantly shrink your long link down to a manageable size.
⚠️ Pro-Tip: If you go this route, we highly recommend sending a test email to yourself first! Sometimes, strict email spam filters can be cautious of generic shortened links. A quick test will give you peace of mind that your email is landing in the inbox.
Option 2: Use a Native File-Sharing Shortcut
If your link points to a cloud-stored file (such as Google Drive, Microsoft OneDrive, or SharePoint), long URLs can often be avoided by sharing a simplified shortcut link generated directly within your cloud platform rather than copying the full URL from your browser’s address bar.
Option 3: For Microsoft SharePoint links, you can create a SharePoint "Link" File
If you want to avoid third-party shorteners, you can generate a much shorter URL directly within Microsoft.
Open your SharePoint folder.
Click New, then select Link.
Paste your long URL into the field and give it a short, simple name.
Share the link to that newly created shortcut file.
This will generate a short, native Microsoft URL that fits perfectly inside your EventCreate emails without stretching the formatting!
